INSTRUCTIONS FOR EMPLOYEE PARTICIPATION AND CONSULTATION

Employee Participation
SolarAPEX provides consultation and participation for employees and develops and encourages methods to increase employee contribution to the systems. It creates direct contact environments to remove any barriers to participation and consultation and guarantees confidentiality on matters where individuals wish to keep their information private. Employees are informed about these practices/methods when they first start work (during the orientation process).
Training is provided to increase employees’ awareness of the hazards in their own work areas, to ensure that they discuss occupational health, safety, and environmental issues with each other, and thus to increase their OHS and environmental awareness and culture.

Ensuring the participation of our employees in the field and discussing matters for consultation is the responsibility of our Project Managers and, in the office, our Purchasing Engineer, and is discussed at monthly project meetings. The topics to be discussed at these project meetings are listed below.

General topics discussed at the monthly Project Meetings:

• Legal requirements, expectations of relevant parties, and the status of their fulfillment,
• Goals and actions to be taken to achieve them,
• Monitoring and measurement results, changes if necessary and their reasons,
• Inspections and their results,
• Incidents, cases, near misses,
• Changes in hazard analyses, if any,
• Preventive measures and the results of preventive activities,
• Training conducted, training planned, and training results,
• Corrective actions and their results,
• Resources allocated/to be allocated for OHS,
• The status of the OHS and Environmental Management System and the need for policy changes accordingly,
• Tasks, authorities, and responsibilities that need to be changed to improve the performance of the OHS and Environmental Management System in line with laws and stakeholder expectations.
In addition to these topics, issues reported by employees themselves are also discussed and recorded. Feedback on the recorded topics is communicated to the relevant persons by the Purchasing Assistant.
Consulting (Seeking Opinions) and Informing Employees
SolarAPEX consults with employees and informs them using the methods described below:
• All employees can express their opinions on protecting employee health, ensuring safety, preventing environmental pollution, ensuring the efficient use of resources, and improving processes/systems. They communicate their opinions to their managers, the Purchasing Engineer, or the Purchasing Assistant using the Opinion Submission Form.
• SolarAPEX collects feedback from the Sales and Purchasing departments to understand the impact of company practices on employees and the work environment, to ensure that all employees are granted the same rights and responsibilities, to measure employee satisfaction, and to align individual employee goals with company goals.
• It receives requests, suggestions, and complaints from employees regarding issues that may arise from their individual employment contracts, human and labor rights, and/or other related matters, for which a response/solution is expected. It then evaluates them appropriately and works to ensure a more efficient and peaceful working environment. Every employee has the right to make requests and complaints, and this right cannot be denied.
